Mail or Re-mail?
Address lists are difficult to maintain. As with all databases, we
must learn to deal with data variations due to misspellings, nicknames,
abbreviations, transpositions, and other data input errors. Then
we must deal with the fact
that over 8 million U.S. addresses are changed every year. And if
that’s
not all, in 2001 the United States Postal Service (an IST customer)
estimated that close to 24 percent of all mail is incorrectly addressed
and over 5 billion
pieces of mail were undeliverable as addressed. There are many reasons
that a letter or package cannot be delivered, such as incomplete,
illegible or
incorrect address information, renumbered houses, renamed streets,
adjustment of
rural routes, or the minimum criteria for mailability is not met.
In addition to the ever-increasing cost of postage, every undeliverable
piece of mail costs your business the time to prepare the mailing plus the
cost of materials and printing. Add to that the cost of lost opportunity,
such as low response to marketing campaigns, and a deterioration of your business
image.
That’s not all. Many companies don’t have the time to sort their
mailing lists, and even more don’t have address lists that are certified
as being correct. The US Postal Service offers significantly discounted postal
rates for companies that sort their outgoing mail and validate and standardize
the addresses through a Coding
Accuracy Support System (CASS™) certified postal software.
It's easy to see how undeliverable mail can have a dramatic effect
on your bottom line.
How Dramatic?
An example might help to illustrate the issue further. Company A
sends out 25,000 pieces of direct mail per month, or 300,000 per year. Let’s
assume that their mailing list is about average, according to the US Postal
Service, with 3.0% Undeliverable as Addressed. Let’s further assume
that they spend an average of $0.70 per piece in postage, materials, and labor.
Here’s a summary of recurring avoidable costs that Company A incurs:
Number of Pieces of Undeliverable Mail: (300,000 x 3.0%) = 9,000
Annual Cost of Undeliverable Mail: (9,000 x $0.70) = $6,300
